Job Description: Personal Assistant / Administrative Assistant

Location: Beirut – Saifi

Working Hours: Monday to Friday, 9:00 AM – 6:00 PM


Overview


The Personal Assistant / Administrative Assistant provides direct support to management within a jewelry business environment by handling administrative duties, coordinating daily tasks, and ensuring smooth office and showroom operations. This role requires discretion, attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced, high-end setting.


Key Responsibilities


1. Administrative Support




  • Manage daily schedules, appointments, and calendar coordination for management.




  • Organize meetings, prepare agendas, and take minutes when required.




  • Handle correspondence, including emails, phone calls, and messages, on behalf of management.




  • Maintain and organize files, client records, invoices, and internal documents.




2. Office & Showroom Coordination




  • Support daily office and showroom operations to ensure efficiency and professionalism.




  • Prepare reports, letters, and presentations as requested.




  • Coordinate with internal teams and external suppliers to follow up on pending tasks.




  • Monitor office and showroom supplies and ensure stock availability.




3. Communication & Follow-Up




  • Act as the main point of contact between management, staff, clients, and external partners.




  • Follow up on assigned tasks and provide timely updates to management.




  • Draft professional emails and correspondence aligned with the brand’s standards.




4. Travel & Logistics




  • Arrange travel itineraries, bookings, and accommodation for management.




  • Coordinate transportation and schedules when required.




5. Confidentiality & Professionalism




  • Handle sensitive information, including client and business data, with strict confidentiality.




  • Maintain a polished, professional demeanor suitable for a luxury jewelry environment.




  • Ensure high standards in communication, presentation, and office conduct.




Required Skills & Qualifications




  • Strong organizational and multitasking abilities.




  • Excellent verbal and written communication skills.




  • Proficiency in Microsoft Office and basic computer tools.




  • Ability to work under pressure and meet deadlines.




  • Detail-oriented, reliable, discreet, and proactive.




Preferred Qualifications




  • Previous experience in administration, hospitality, luxury retail, or office management.




  • Languages: English and Arabic required; French is a plus.




  • Familiarity with client-facing or high-end brand environments is an advantage.
