About Us
W M Donald Ltd are looking for a reliable Procurement Buyer Assistant. The successful candidate will be responsible to support the procurement function in delivering an efficient, cost-effective, and client-focused service by assisting in ensuring that all procured goods and services comply with legislation, company standards, and client specifications. To assist in obtaining quotations, gathering supplier information, and supporting negotiations to help achieve best value for money. The role will also contribute to the identification of new products and services for commercial, health & safety, and technical review by the procurement team. To help maintain compliance with Company Standards of Service and quality systems by accurately processing purchase documentation, maintaining supplier records, and supporting procurement activities aligned with the company business plan(s).
Key Responsibilities
- Support the procurement team in sourcing materials, consumables, tools, and equipment.
- Assist in requesting and collecting supplier quotations and pricing data.
- Maintain accurate purchase order records and ensure correct documentation.
- Help update and manage supplier and subcontractor databases.
- Monitor deliveries and follow up with suppliers regarding lead times and order status.
- Support invoice reconciliation by checking prices, quantities, and resolving basic discrepancies.
- Assist with preparation of tender documentation and supporting information.
- Help set up new supplier accounts and support onboarding processes.
- Compile procurement data and help prepare reports on spend, savings, and supplier metrics.
- Conduct basic supplier research and gather product information for review.
- Support stock level monitoring and ensure timely ordering of recurring items.
- Assist with warranty and re-hire supplier documentation and communication.
- Prepare paperwork and scheduling for supplier meetings and take minutes when required.
- Help ensure compliance with procurement procedures and approval requirements.
- Maintain procurement files, records, and contract folders in an organized manner.
- Provide administrative support to the procurement manager and buyers as needed.
Qualifications & Experience
Essential Requirements
- Knowledge of supply chain activity
- Substantial experience in a purchasing environment preferably within the construction industry
- CSCS Card
- Full UK Driving Licence
- General IT literacy including Microsoft Office suite
