Job Description: Program Coordinator – Staffing Operations


We are looking for a Program Coordinator to oversee and streamline our staffing operations. You will be the central point of coordination between our recruiting team and bench sales team, ensuring smooth workflows, tracking performance, and helping maximize revenue.

No prior staffing industry experience required — we'll train you on the domain.

Location - Kondapur, Hyderabad


What You'll Do

Team Coordination

  • Act as the bridge between recruiting and bench sales teams
  • Ensure both teams are aligned on priorities and working efficiently
  • Conduct daily/weekly check-ins to track progress

Requirement Tracking

  • Monitor incoming job requirements from client portals and job boards
  • Assign requirements to recruiters and track submissions
  • Maintain a master tracker of all open positions and their status

Pipeline Management

  • Keep an updated inventory of available candidates (bench)
  • Match bench candidates to open requirements proactively
  • Flag opportunities where we can submit existing candidates quickly

Reporting & Metrics

  • Track team productivity (submissions, interviews, placements)
  • Prepare weekly reports for leadership
  • Identify bottlenecks and suggest process improvements

Process Improvement

  • Document standard operating procedures (SOPs)
  • Suggest and implement ways to improve turnaround time and efficiency
  • Ensure teams follow established processes consistently


What We're Looking For

Must Have

  • 2-5 years of experience in coordination, operations, or project management
  • Strong organizational skills — you love checklists and trackers
  • Comfortable managing and following up with team members
  • Good communication skills in English (written and verbal)
  • Proficiency in MS Excel / Google Sheets
  • Willingness to learn a new domain quickly

Nice to Have

  • Experience working with US clients or in a global environment
  • Background in HR, recruitment, or staffing (not mandatory)
  • Familiarity with CRM or ATS tools
  • Experience working in night shifts or flexible hours

Mindset

  • Self-starter who doesn't need hand-holding
  • Comfortable with ambiguity and figuring things out
  • Process-oriented but flexible when needed
  • Interested in growing into an operations leadership role
