Program Management Office Analyst

We are looking for someone with great analysis and organisation skills who can help drive data-driven insights and project portfolio decision making. Excellent English-speaking skills and a flexible attitude are a must!

RESPONSIBILITIES

PORTFOLIO DEMAND MANAGEMENT

• Support the Head of Delivery Services in reviewing the Portfolio Demand Dashboard, surfacing insights and making recommendations to Leadership
• Review actions that relate to sales work, chasing up action owners to ensure timely progress
• Work with Leadership to strategically value opportunities in the pipeline
• Assist in scheduling client and internal meetings that relate to developing project opportunities
• Support Proposal Development Managers with resource planning in Proposal and Onboarding phases
• Support project managers with the onboarding of their projects including setting up project reporting dashboards, RAID logs and carrying out system admin functions
• Support Proposal Development Managers in evaluating complexity and determining the appropriate Project Management tier during the Proposal phase

PORTFOLIO MANAGEMENT REPORTING

• Support portfolio reviews by preparing agendas, producing reports/dashboard views, highlighting areas that need attention and scheduling meetings
• Maintain a consolidated view of project RAID logs, analyse and report on trends, and follow up with Project Managers on anomalies
• Provide insight and analysis to leadership on project & portfolio health, demand trends and resource capacity and utilization
• Track budget vs. actuals for project work that is undertaken as Time & Materials (T&M) coordinating with Project Managers as required

RESOURCE MANAGEMENT

• Regularly review resource utilisation and work with the Head of Delivery Services to optimise allocation of a global talent pool
• Working in collaboration with Project Managers, proactively identify and fix resource conflicts or planning errors
• Create forward views that compare resource allocation based on actual utilization vs work in Proposal and Awaiting Approval stages

QUALITY MANAGEMENT

• Maintain up-to-date information relating to Demand Management processes such as project registration, evaluation and prioritisation
• Quality review demand management processes and data quality for Pipeline, Proposal, Awaiting Approval and Onboarding stages using quality checklists and status reporting
• Carry out regular quality reviews of project management processes to ensure standards are being consistently followed and data quality is of a high standard

QUALIFICATIONS AND SKILLS

• Business/B2+ Level English
• Bachelor's degree or equivalent experience
• Data analysis and reporting skills
• Experience working with Microsoft technologies such as PowerBi and SharePoint
• Strong analytical and documentation skills
• Good PowerPoint skills
• Motivated self-starter
• Personable and professional manner
