Overview:
The Project Coordinator will be responsible for establishing, implementing, and maintaining robust operational systems and processes across the EPC function. The role requires strong coordination abilities, documentation skills, and the ability to drive compliance and operational discipline across teams.
The individual will work under the guidance of the Head – Operations and collaborate closely with technical, procurement, site, and office teams to ensure smooth and efficient project execution.
Job Responsibilities:
System Development & Implementation:
Establish and implement standardized systems, workflows, and procedures across EPC operations.
Ensure processes are documented, periodically updated, and effectively communicated to all stakeholders.
Promote process discipline and operational consistency within the organization.
ISO Standards & Compliance :
Lead the implementation and maintenance of ISO 9001 and ISO 14001 management systems.
Prepare and manage SOPs, Work Instructions, Formats, and QMS documentation.
Coordinate internal/external audits, NCR closures, and continual improvement initiatives.
Project Coordination & Monitoring :
Gather technical inputs from the site team, monitor procurement status, and maintain project progress trackers.
Identify delays, issues, or resource gaps and escalate them appropriately for timely resolution.
Operations Review & Performance Reporting :
Coordinate and prepare periodic operational review meetings.
Generate monthly performance reports covering budgets, spending, material utilization, project KPIs, and departmental performance.
Maintain structured documentation of review outcomes and follow-up actions.
SOP & Documentation Management :
Work with technical, site, and office teams to draft and standardize SOPs, Work Instructions, Checklists, and Formats.
Ensure proper version control, document indexing, and adherence to documentation standards.
Customer, Vendor & Internal Communication :
Draft and send technical emails, follow-ups, and clarifications to customers in coordination with the Head – Operations.
Maintain communication logs and ensure timely closure of commitments.
Prepare Minutes of Meeting (MoM) for all technical discussions with customers, vendors, and internal stakeholders, and circulate them promptly.
ERP Implementation & Support :
Act as the operations representative for ERP implementation.
Support business process mapping, software testing, data migration, and user training.
Monitor usage and ensure smooth adoption of ERP systems across teams.
Additional Recommended Responsibilities :
Support preparation of method statements, risk assessments, and quality plans.
Assist in managing statutory and compliance documentation related to QA/QC and safety.
Identify opportunities for improving efficiency through automation, digital tools, and streamlined workflows.
Facilitate internal training on systems, processes, and ISO requirements.
Job Requirements:
Qualifications & Experience :BE / Diploma in Engineering (Mechanical / Electrical / Production preferred), or MBA / BBA in Operations, Quality Management, Project Management or related fields (preferred).
Experience: 3–5 years of industrial experience in projects coordination, documentation, EPC operations, or quality management.
Practical exposure to ISO 9001, ISO 14001, and system/quality tools.
Good proficiency in MS Office, Google Workspace; ERP experience is an advantage.
Strong coordination, planning, and communication skills.
Excellent documentation and reporting abilities.

Structured and process-driven approach to work.

Good understanding of EPC project workflows.

Analytical mindset with ability to prepare dashboards and performance reports.

High sense of ownership, integrity, and accountability.
