About the Department
The National Disability Insurance Agency (NDIA) is an independent statutory agency that is responsible for implementing the National Disability Insurance Scheme (NDIS), which will support a better life for hundreds of thousands of Australians with a significant and permanent disability and their families and carers. The NDIA values a positive contemporary attitude to disability.
Whilst engaged by the NDIA, this is an independent support to the Independent Advisory Council (IAC).
About the Role
This identified APS5 role provides secretariat and project support to the Independent Advisory Council (IAC), helping ensure meetings, advice and processes are delivered effectively. Working as part of the IAC Secretariat, you will coordinate logistics, support administrative and financial tasks, and assist IAC members and Reference Groups to participate in a culturally safe and accessible way.
This role suits someone who is organised, collaborative and comfortable working in a busy, changing environment while communicating clearly in plain English.
Key Duties
- Provide secretariat and project support to the Independent Advisory Council (IAC), ensuring effective governance, coordination and delivery of meetings and advice.
- Coordinate meeting logistics, including calendars, agendas, attendance tracking, travel, accommodation and venue arrangements, with a strong focus on accessibility and cultural safety.
- Support financial and administrative processes, including sitting fees, invoices, purchase orders, expenditure tracking and reporting.
- Maintain accurate records, spreadsheets and tracking tools to support meetings, actions, advice and project deliverables.
- Assist with procurement, contract administration and monitoring of expenditure in line with NDIA requirements.
- Provide practical support to IAC members and Reference Group members, including troubleshooting technical issues and supporting participation in meetings.
- Draft clear, plain-English documentation, reports and correspondence to support the work of the IAC and secretariat.
- Build and maintain respectful working relationships with IAC members, Independent Advisors, NDIA staff and external stakeholders.
- Operate effectively in a busy, changing environment, managing competing priorities and contributing to team outcomes.
Essential Criteria
- Identifies as an Aboriginal and/or Torres Strait Islander person (special measures role).
- Demonstrated experience providing administrative and/or project support in a government, advisory, community or similar environment.
- Strong organisational skills, with the ability to manage multiple tasks, maintain accurate records and meet deadlines.
- Experience supporting meetings, committees or advisory groups, including logistics, coordination and follow-up actions.
- Demonstrated ability to prepare clear, accurate documentation and correspondence written in plain English.
- Sound judgement and problem-solving skills, with the ability to resolve moderately complex issues within established procedures.
- Well-developed communication and relationship-building skills, with the ability to work respectfully with diverse stakeholders, including First Nations people and people with disability.
- Ability to work both independently and as part of a team in a fast-paced, changing environment.
- Basic experience or familiarity with financial, procurement or record-keeping processes (or the ability to quickly develop these skills).
