Job Title: Marketing Associate
Key Responsibilities
RFP, RFQ & Proposal Support
* Assist in preparing responses to RFPs, RFQs, and SOQs for public and private sector projects.
* Compile firm qualifications, resumes, project sheets, and relevant experience for proposals.
* Coordinate proposal timelines, submission requirements, and compliance checklists.
* Maintain and update proposal templates and boilerplate content.
* Support final formatting, proofreading, and quality control before submission.
Marketing Collateral & Portfolio Development
* Maintain and enhance project portfolios, project sheets, and firm profiles.
* Craft compelling project narratives and firm messaging aligned with client and sector requirements (residential, commercial, healthcare, public work).
* Leverage high-quality photography, renderings, and 3D visualizations to showcase the firm’s work.
* Coordinate with architects and project managers to gather visuals, drawings, and technical information.
* Organize and manage internal libraries for resumes, credentials, certifications, and imagery.
Visual Design & Storytelling
* Apply strong storytelling and written communication skills to articulate the firm’s design philosophy, process, and value to prospective clients.
* Design and update marketing materials using Adobe InDesign, Photoshop, and Canva.
* Ensure visual consistency, branding, and high aesthetic standards across all materials.
* Assist with layout, formatting, and presentation-quality documents for proposals and client-facing materials.
CRM & Business Development Support
* Maintain and update the firm’s CRM with contacts, clients, consultants, and public agencies.
* Track leads, opportunities, submissions, and follow-ups.
* Maintain a pipeline of active, upcoming, and potential opportunities.
* Support relationship-driven email outreach and follow-ups (non-promotional).
Market & Opportunity Research
* Research upcoming public-sector and private-sector opportunities (municipal, healthcare, institutional).
* Track procurement portals, deadlines, and submission requirements.
* Identify relevant agencies, developers, and consultant partners.
* Prepare briefing materials on target clients, sectors, and pursuits.
Operational Marketing Support
* Support internal marketing systems, workflows, and document control processes.
* Help standardize naming conventions, templates, and folder structures.
* Coordinate between marketing, leadership, and project teams to ensure timely deliverables.
* Maintain marketing calendars tied to proposals and submissions.
Required Skills & Qualifications
* Strong storytelling and written communication skills with the ability to articulate design value and firm positioning.
* Strong visual and aesthetic sensibility, with an understanding of how architecture is presented and marketed.
* Proficiency in Adobe InDesign, Photoshop, and Canva.
* High attention to detail and strong document formatting skills.
* Ability to manage multiple deadlines and structured workflows.
* Comfortable working with CRMs, spreadsheets, and document management systems.
* Familiarity with RFP/RFQ/SOQ processes.
* Previous experience working in the Architecture, Engineering, or Construction (AEC) industry.
* Experience supporting U.S.-based firms, particularly with proposals or business development efforts.
