Patient Intake Coordinator (ABA Autism Care)

Overview
The Patient Intake Coordinator is the first point of contact for families seeking Autism care services. This role plays a critical part in creating a positive first experience by conducting intake screenings, gathering required information, and guiding families through the early stages of the care journey. The ideal candidate is empathetic, highly organized, fluent in English, and experienced in Applied Behavioral Analysis (ABA) therapy environments.

This position requires comfort with high call volumes, detailed data entry, and consistent use of CRM systems such as Salesforce.

Key Responsibilities

1. Outreach & Screening

  • Make prompt outbound calls to prospective families after online inquiries.
  • Conduct intake screenings to collect missing information and assess eligibility.
  • Provide empathetic, professional support while building trust with families from the first interaction.

2. Lead Management & Documentation

  • Accurately document all intake interactions and data within Salesforce.
  • Convert qualified leads into opportunities and hand off to benefits verification and authorization teams.
  • Disqualify or close leads when appropriate (e.g., no diagnosis, unable to reach family).

3. Conversion & Follow-Up

  • Re-engage families that have gone inactive to maximize conversion rates.
  • Support evening and weekend intake coverage as needed to ensure timely outreach.

4. Collaboration & Quality

  • Work closely with intake leadership to follow established SOPs, scripts, and quality standards.
  • Collaborate with cross-functional teams, including clinical and revenue cycle teams, to ensure a smooth intake-to-care transition.
  • Participate in training, coaching, and continuous improvement initiatives.

Qualifications

  • Bachelors degree or equivalent work experience preferred.
  • Required: Prior experience in Applied Behavioral Analysis (ABA) therapy for Autism care.
  • 2+ years of experience in patient intake, healthcare operations, or customer service.
  • Highly fluent English required; bilingual Spanish strongly preferred.
  • Experience using Salesforce or similar CRM systems.
  • Strong phone presence with excellent communication and interpersonal skills.
  • High attention to detail and strong organizational skills.
  • Ability to work flexible hours, including evenings and weekends, as needed.
