Job Description

We’re looking for a proactive and detail-oriented Administration Officer to join our team! Reporting to our PVT Valuer, you’ll play a key role in supporting our Buyers and Sales Agents with administration tasks related to purchasing and consigning motor vehicle stock through Pickles processes.

This is a full-time role, Monday to Friday, 8:00am – 5:00pm, offering hybrid work options after initial training. Training will likely take place in our Belmore offices in Sydney or via Teams, and then you’ll enjoy the flexibility to work from home and the office as directed.

YOUR MAIN ROLES AND RESPONSIBILITIES WOULD INCLUDE:

  • Complete PPSR status checks on all relevant vehicles prior to purchase (PPSR are status checks to see if cars have a clear title/if the car has been written off)
  • Create assets numbers in our Pickles portal
  • Check load numbers and make data corrections as required in our internal system
  • Liaise with 3rd parties for required details to finalise the collection & payment
  • Arrange the collections of stock through Pickles transport departments nationally and follow up late late-coming vehicles
  • Liaising with our PVT buyers & finance companies with encumbrances & payouts that need to be paid prior to payment
  • Book appointments with both sellers and our branches for inspections to purchase
  • Processing all payments through accounts and liaising with the Finance Department as required
  • Managing and resolve complex issues relating to stock and sold vehicles
  • Responding to all calls and e-mails accurately and promptly

ABOUT YOU:

  • Experience in an administrative role
  • Understanding of PPSR, and relevant state legislation in this area would be highly advantageous
  • Microsoft Outlook, Word & Excel skills
  • Competent oral & written communication skills
  • Efficient; able to prioritise competing tasks and meet deadlines
  • Able to work effectively as part of a team
  • Excellent interpersonal & client relationship building skills
  • High attention to detail
