JOB DESCRIPTION
Receptionist
centers on being the first point of contact, welcoming visitors, managing calls/emails, scheduling appointments, handling mail, and performing administrative tasks like filing, data entry, and maintaining the reception area, all while ensuring a professional, welcoming atmosphere and efficient office operations. Key duties include greeting guests, directing inquiries, managing calendars/diaries, coordinating meetings, ordering supplies, and providing support for other staff, requiring strong communication, organization, and customer service skills.
Key Responsibilities:
Front Desk Management: Greet and welcome visitors, announce guests, manage visitor logs, issue badges, and maintain a tidy reception area.
Communication Hub: Answer, screen, and forward incoming phone calls, take messages, and respond to emails and inquiries.
Scheduling & Coordination: Manage appointment calendars, book meeting rooms, arrange catering, and coordinate travel plans for staff.
Administrative Support: Sort and distribute mail/packages, perform data entry, filing, photocopying, and prepare documents (memos, reports).
Office Maintenance: Monitor and order office supplies, liaise with maintenance/IT, and ensure general office tidiness.
Security & Facilities: May monitor access, manage building access for new staff, and assist with basic facility issues.
Essential Skills & Qualifications:
Proven experience as a receptionist or Front Desk Representative.
Excellent verbal and written communication skills.
Strong organizational, multitasking, and time-management abilities.
Proficiency in MS Office Suite (Word, Excel, Outlook).
Professional appearance, positive attitude, and strong customer service orientation.
Ability to handle confidential information.
High school diploma or equivalent.
