The Receptionist will play a central role in managing the front desk, directing communications, and ensuring daily office operations run smoothly.

The Receptionist is responsible for managing the front desk, greeting visitors, and handling all incoming calls while providing general administrative support to the construction and property management teams.

Key Responsibilities

  • Front Desk Management: Serve as the first point of contact for the office; greet and screen visitors, clients, and vendors with professionalism.

  • Communication: Answer, screen, and route incoming phone calls to the appropriate department or individual; take detailed messages when necessary.

  • Mail & Shipments: Process and distribute incoming mail and packages; prepare outgoing mail and manage FedEx/UPS shipments using the postage machine.

  • Office Maintenance: Ensure the reception area, conference rooms, and kitchen are kept tidy and presentable; monitor and order office/kitchen supplies.

  • Administrative Support: Perform general clerical duties including data entry, filing, scanning, and document preparation to support the leasing and construction teams.

  • Scheduling: Assist with scheduling meetings, managing conference room calendars, and coordinating deliveries.

  • Equipment Management: Handle copier repair calls, monitor toner/paper supplies, and troubleshoot basic office equipment issues.

  • Team Support: Adapt to shifting priorities and assist various departments with special projects or administrative overflow as needed.

Qualifications

  • Experience: Prior experience in a reception or administrative role is required. Experience in Real Estate, Construction, or Property Management is a plus.

  • Communication: Excellent verbal and written communication skills with a polished phone manner.

  • Technical Skills: Proficiency in Microsoft Office (Excel, Word, Outlook) and comfortable learning new office systems.

  • Soft Skills: Highly organized, detail-oriented, and able to multitask without losing composure.

  • Attitude: Team-oriented with a positive, welcoming attitude and a willingness to help wherever needed.

  • Reliability: Punctual and dependable, as this role is vital to opening and managing the office workflow.

Compensation / Pay Rate (Up to): $24.00 - $26.00 Per Hour
