Job Description

  • Greet and welcome visitors to the Office, ensuring they sign in the visitor's book and informing the relevant members of staff of their arrival.
  • Monitor and ensure that the reception area is kept tidy and projects a business-like image. Keep a record of staff and visitors singing in and out of the office.
  • Operate EPABX phone system, receiving and transferring telephone calls, taking brief messages and passing these to staff members.
  • Report telephone equipment and line faults to the Administration Head.
  • Review and update on a regular basis the staff contact and telephone extension lists.
  • Check and sign for deliveries, before informing the relevant member of staff of their arrival. Maintain proper records in computer.
  • Manage all postal and courier system: Inward, Outward. Check POD's, maintain excel sheet for invoice checking.
  • Record all visitors, in/out of office.
