About the Role

We are seeking a caring, organised, and professional Receptionist / Administration Assistant to join our Clinic Administration Team on a full-time basis . We are also open to applications from candidates seeking part-time hours (minimum 3 days per week) .

This role is central to the daily operation of our clinic. You will be the first point of contact for patients and visitors, providing high-quality reception and administrative support to clinicians and staff, while helping ensure the clinic runs smoothly each day.

Key Responsibilities (but not limited to)

  • Manage phone, email, and in-person enquiries and relay messages accurately
  • Assist patients with forms, documentation, and appointment bookings
  • Process billing and payments using medical software (Best Practice)
  • Check eligibility for Mental Health Care Plans (MHCP) and GP Team Care Arrangements
  • Coordinate appointments and communication with off-site Psychologists, Psychiatrists, and Counsellors
  • Prepare and manage discharge summaries and other clinical documentation
  • Manage incoming and outgoing mail, scanning, filing, and data entry using Pharos software
  • Maintain accurate records and ensure confidentiality at all times
  • Ensure reception and clinic areas are well-stocked and prepared for daily operations
  • Follow up with patients as directed by the Clinic Manager

About You

  • Qualification in Business Administration, Medical Reception, or a related field (desirable, not essential)
  • Previous experience in a reception or administration role, preferably within a clinic, community, or healthcare setting
  • Strong computer skills, including Microsoft Office, and the ability to learn clinic systems (Best Practice and Pharos)
  • Experience with general administration tasks such as data entry, document management, and record keeping
  • Clear and professional verbal and written communication skills
  • Ability to work independently and as part of a collaborative team
  • High regard for confidentiality and ethical practice
