Our client is a leading Japanese MNC company that specialises in the supply of tools and equipment. They are currently looking for a Sales Coordinator to assist their Sales team!

【Responsibilities】
- Ensure accuracy and timeliness of all data uploaded to the customer portal
- Monitor shipment and invoice status to support smooth transaction flow
- Liaise with internal departments (sales, logistics, accounting) to meet customer requirements
- Maintain confidentiality and professionalism when handling customer information
- Provide administrative support during customer visits or reviews
- Escalate any delay or abnormal situation to the sales team promptly

【Tasks】
- Handle all administrative including quotation, PO, and delivery tracking
- Upload and maintain data on customer portal systems, e.g. inventory control system
- Support internal processes, e.g. prepare documents, track findings, etc.
- Maintain records and filing of project or order-related information
- Perform shipment coordination, including creating and tracking Delivery Orders and Invoices in our internal system
- Monitor shipment status with the logistics team and forwarders
- Proactive coordination with Japan HQ for orders
- Proactively manage the "Forecast - Quotation - PO - Machine Specification - Purchase Specification" workflow, identifying and resolving any discrepancies to ensure alignment across all documents.
- Follow up on the customer's PO
- Follow up on actions required from meetings
- Execute the full product order workflow, including DPR (Document Preparation Request) issuance, necessary follow-up, Purchase Order (PO) confirmation, and final shipment arrangement.

Qualifications

  • Requirement

    【Requirements & Preferences】

    (Must)
    - 2 years of Sales Coordinator experience, including handling PO in the Manufacturing or similar industry
    - Comfortable with learning and using customer online portals/vendor systems
    - Basic understanding of internal audit control and documentation procedures
    - Proficient in Microsoft office (MS Word, Excel, Powerpoint)
    - Fluent in English and Mandarin to liaise with English and Mandarin-speaking customers


    (Advantageous)
    - Experience in the Semiconductor industry
    - Experience and strong interest in the Japanese environment and culture
