Responsibilities:
Administrative & Office Support
Manage and maintain calendars, scheduling appointments and meetings with a keen eye for detail.
Prepare, proofread, and edit correspondence, reports, and presentations to ensure professional quality.
Organize and maintain both physical and electronic filing systems, making sure information is always at our fingertips.
Handle incoming and outgoing mail, emails, and faxes, distributing them promptly and accurately.
Keep our office stocked by ordering and managing supplies.
Assist with data entry and maintain accurate records across various systems.
Ensure a tidy and organized office environment, contributing to a pleasant workspace.
Client & Communication Hub
Be the first point of contact for clients, responding promptly and professionally to inquiries via phone, email, and other channels.
Coordinate and schedule meetings, appointments, and presentations with clients, ensuring all necessary materials are prepared and ready to go.
Maintain strong client relationships by providing exceptional service and accurate information, making every interaction a positive one.
Manage incoming and outgoing calls, directing them to the right person or handling inquiries independently when possible. You'll be the voice of our company!
Lead & Sales Assistance
Respond to incoming sales leads, gathering initial information and qualifying potential opportunities before passing them along to our sales team.
Help prepare sales proposals, presentations, and contracts, ensuring everything is polished and professional.
Track and report on lead status and sales activities, giving us insights into our progress.
Keep our client and lead databases up-to-date and accurate.
