Rutgers University–Newark (RU-N), an urban public research university and anchor institution located in Newark, New Jersey, is seeking a Senior Program Coordinator. This role serves as a vital member of the RU-N Student Accounting, Billing, Payment Center, and RUID Services team.
The Business Services Office at RU-N supports student success by delivering high-quality, student-centered services related to billing, payment plans, term bill management, collections, cashiering, and RUID card processing. Reporting to the Assistant Vice Chancellor for Budget and Financial Planning within the Office of the Chancellor, the office acts as a centralized hub for financial interactions between students and the university. It ensures compliance with institutional, state, and federal regulations, while collaborating with Financial Aid, Registrar, One Stop, Admissions, Enrollment Management units, and academic departments to enhance financial literacy, retention, and equitable access to education.
The Senior Program Coordinator is responsible for:Student Financial Support:
Delivering high-quality, student-centered support for tuition, fees, registration holds, billing, payments, refunds, and identity card services.Maintaining accurate student financial records, processing timely account adjustments, and ensuring consistent service delivery across multiple touchpoints.Using independent judgment and expert knowledge of university systems and policies to counsel students and families on financial obligations.Assisting with complex student account issues and collaborating with Financial Aid, Registrar, Housing, Dining, and Veterans Services. Payment Center & Cashiering:
Supporting specialized billing scenarios (third-party billing, veteran benefits, tuition remission, summer/winter sessions, unemployment tuition waivers).Accepting and processing in-person tuition payments, departmental deposits, and other financial transactions.Maintaining and reconciling a cash drawer, troubleshooting discrepancies, and ensuring accurate general ledger reporting.Assisting students with online payment systems, installment plans, and refund eligibility. RUID Card Services:
Overseeing the issuance and replacement of Rutgers ID cards for students, faculty, and staff.Validating eligibility, operating card production equipment, troubleshooting technical issues, and coordinating with IT, Housing, Dining, and Campus Safety.Counselor on Call (COC) & Student Support:
Serving as a front-line escalation resource for high-level inquiries related to billing, holds, payments, and ID services.Providing daily support via walk-ins, appointments, virtual platforms, and email inquiries.Administrative & Project Support:
Contributing to departmental and cross-functional projects, including self-appraisal evaluations, service delivery enhancements, website and communication updates, and training initiatives.Demonstrating strong problem-solving ability, customer service orientation, and a commitment to student success.Utilizing advanced technical, analytical, and communication skills in a fast-paced and evolving environment.
