istration & Office Management

  • Oversee site office operations, including documentation, filing systems, and correspondence.

  • Manage site facilities such as accommodation, transportation, housekeeping, and utilities.

  • Coordinate issuance and control of site ID cards, access passes, and attendance systems.

  • Manpower & HR Coordination

  • Maintain manpower records, attendance, and leave data for staff and contract workers.

  • Coordinate with HR for mobilization, demobilization, onboarding, and exits.

  • Support payroll inputs, timesheets, and contractor manpower reports.

  • Vendor & Contractor Coordination

  • Coordinate with local vendors, service providers, and contractors for site-related services.

  • Assist in procurement follow-ups for office supplies, consumables, and site facilities.

  • Verify bills related to site administration and services.

  • Documentation & Reporting

  • Maintain site registers, logs, and statutory records as required.

  • Prepare and submit daily, weekly, and monthly administrative reports to project management.

  • Support audits and inspections by ensuring availability of site documents.

  • Compliance & Support Functions

  • Support compliance with labor laws, statutory requirements, and company policies at site.

  • Coordinate with EHS team for safety inductions and record-keeping.

  • Assist project team in organizing meetings, visits, and reviews.

  • Inventory & Asset Management

  • Maintain records of site assets, furniture, IT equipment, and consumables.

  • Track issuance, movement, and condition of site assets.

  • Coordination & Communication

  • Act as a single point of contact for administrative matters at site.

  • Coordinate between site team, head office, and external agencies.

  • Ensure effective communication of administrative instructions and updates.

  • Qualifications & Experience

  • Bachelor’s degree / Diploma in Administration, Commerce, Arts, or related field.

  • 8–10 years of experience in site administration, preferably in EPC, solar, or infrastructure projects.

  • Key Skills

  • Strong administrative and organizational skills.

  • Knowledge of site HR processes and documentation.

  • Good communication and coordination abilities.

  • Proficiency in MS Office (Excel, Word, Outlook) and basic reporting.
