About the Role
To support daily site operations on a busy, high‑pressure project environment. This role is critical to ensuring smooth contractor mobilisation, travel coordination, documentation control, and overall administrative support for site‑based and Perth‑based teams. You will be a key point of contact on site, contributing to a well‑run, compliant, and positive workplace culture.
Key Responsibilities
- Manage end‑to‑end contractor and visitor mobilisation, ensuring all site access, compliance, and onboarding requirements are met prior to arrival
- Coordinate inductions, site access applications, medicals, training bookings, and mobilisation documentation
- Maintain accurate records within onboarding and compliance tracking systems
- Process and manage FIFO travel and accommodation bookings for project personnel, contractors, village services, and visitors in line with rosters
- Coordinate travel and accommodation for Perth‑based visitors to site
- Ensure all visitors and subcontractors have the required approvals and site access prior to mobilisation
- Administer light vehicle (LV) fleet management, including hire coordination, allocation, odometer tracking, servicing schedules, repairs, and damage reporting
- Provide general administrative and document control support to the project team
- Maintain and update the project SharePoint site, ensuring documents, communications, and resources are current and accessible
- Prepare professional communications, reports, and presentations for site‑wide distribution
- Assist with organising meetings, site events, team briefings, and site communications
- Maintain accurate organisational charts and project contact lists
- Perform data entry for invoices, delivery dockets, and debit card receipts
- Complete weekly and monthly reporting using Excel and site‑specific systems
Job Requirements
- Qualifications or formal training in Business or Office Administration are desirable
- Previous experience in a FIFO, remote site, or project‑based administrative role within mining, resources, energy, or infrastructure environments is advantageous
- Strong mobilisation experience, including contractor onboarding, flights, accommodation, and site access processes
- Comfortable working in a fast‑paced, high‑pressure environment, managing competing priorities
- High level of attention to detail with strong organisational and problem‑solving skills
- Strong Microsoft Office skills, particularly Excel, Word, Outlook, SharePoint, and PowerPoint
- Confident written and verbal communicator, able to liaise with stakeholders at all levels
- Proactive, flexible, and quick to learn new systems and processes
- Site experience is preferred but not mandatory; exposure to similar environments will be highly regarded
