Description
This role is critical in ensuring smooth day-to-day site admin operations, supporting payroll, mobilisation, reporting, and communication across site teams and stakeholders.
Key Responsibilities
- Deliver administrative support including documentation, correspondence, reports, presentations, and formatting under the direction of the managers and site Superintendents
- Maintain accurate daily, weekly, and monthly project and service reports, including financial, personnel, and payroll data.
- Compile and collate project consumable records as required.
- Maintain site personnel files, ensuring confidentiality and compliance with privacy requirements.
- Coordinate flight and accommodation bookings for employees and subcontractors.
- Manage mobilisation and demobilisation travel and subsistence requirements.
- Administer office scarce resources, asset deployment, and utilisation on site.
- Provide basic payroll data and timesheet.
- Assist with roster management, leave tracking, span-of-control, and workforce administration for employees and subcontractors.
- Support administrative HR/IR functions, ensuring employee numbers and terms of engagement align with company policies.
- Assist with plant and equipment administration, including fleet vehicles.
- Support maintenance register updates and interface with the asset register, including assets deployed with JV partners.
- Assist with invoicing for site-based works when required.
Skills and Experience
- Proven experience in mine site administration, preferably FIFO or construction/mining environment highly desirable.
- Strong organisational skill, ability to manage multiple priorities with high attention to details
- Confident communicator, ability to work collaboratively with site team and work in accordance with company policies and procedures
- Proficient in Microsoft Office (Word, Excel, Outlook).
Requirements
- OHS Construction Industry Card (White Card/Blue Card) and First Aid Certificates required
- Valid full Driver Licence, preferably LR required
- Must be Australian/ NZ Citizen or Permanent resident
