Job Description
Reporting to the Business Unit Manager – Flexi Parts & Mining Services WA, the Site Administrator is responsible for the procurement of goods and services, payroll and management of the departments team site and record keeping of safety related documentation. A strong, client-based work ethic is paramount, as is the ability to liaise with suppliers to ensure services are provided on time and within budget. The Site Administrator is also responsible for the processing of all department invoices, ensuring all costs are correctly allocated into their appropriate accounts using SAP and DBS. This role sees the position at front of store to greet our customers to assist our sales team and direct where required.
Location: Perth Airport
Roster: Mon – Fri 8.5 hours (including lunch)
- Manage administrative duties to ensure effective record keeping in line with WesTrac’s 5-star safety compliance guide, inclusive of Team Site and the preparation Extended safety and store meetings with attendance registers.
- Ensure all administrative duties are carried out to ensure correct management of site-specific requirements, inclusive of team training record keeping/reminders, ad hoc requests, staff transfers, concur travel management and payroll functions.
- Process Purchase Orders in SAP accurately and within reasonable timeframes.
- Ensure invoices are processed in a timely manner and that costs are allocated into their correct accounts.
- Coordinate external service providers to assist workshop in meeting customer deadlines.
- Procure materials for ongoing projects and form/maintain relationships with new and existing customers.
- Basic DBS work order management to assist department with overflow requirements.
Skills and experience:
- Previous Purchasing Officer experience within a sales environment.
- Excellent communication skills – interpersonal, written and verbal.
- Intermediate mathematical skills with high attention to detail and the ability to analyse data.
- Ability to identify continuous improvement initiatives.
- Work successfully within a team and autonomously.
- Gather, analyse and interpret information/data.
- Excellent organisational skills, with the ability to manage fluctuating workloads and conflicting priorities to achieve tight deadlines.
