The Sourcing Coordinator supports the Content Operations organization by tracking, validating, and documenting source material deliveries from licensors (primarily Japan; also Korea, China). The coordinator keeps assets flowing through Client's pipelines — from ingestion to QC review to producers building localization plans.
This is effectively an asset management + media coordination role, not a creative role. It requires comfort with technical specs, metadata, file types, and cross-functional communication.
Key Responsibilities
Inbound Materials & Tracking
- Receive incoming deliveries from licensors and extract download links, metadata, and delivery details.
- Track ingest and progress for materials across all channels:
Theatrical, Simulcast, Home Video, Global Content Distribution, EST - Validate the completeness of delivery packages using base asset lists.
- Identify and flag missing, incorrect, or incomplete assets.
Technical Specifications
- Maintain and enforce tech specs for marketing and content materials.
- Work with source materials across multiple regions (Japan/Korea/China).
- Document tech specs, delivery notes, and metadata in Airtable.
QC & Internal Handoffs
- Partner with QC team to ensure materials meet required specs.
- Provide QC with complete asset details; receive localization-impact feedback.
- Pass complete information to local producers, who use sourcing inputs to build localization strategies.
Cross-Functional Communication
- Collaborate with:

- Brand Team (primary licensor communicators)

- Communicate asset availability, risks, redelivery needs.
Tools & Ecosystem
- Airtable is the core workflow tool (tech specs, QC notes, metadata, delivery status).
- Understand downstream systems like MediaValet, though sourcing does not work directly in it.
- Use file transfer & storage tools like Aspera, FTP, AWS S3, GCP, and LucidLink.
About You (Candidate Profile)
Must-Haves
- 2+ years asset management / media operations / digital distribution experience
- Heavy experience in Airtable
- Familiarity with media & entertainment workflows
- Basic understanding of video specs and media file types
- Strong communication and collaboration skills
- Highly organized, strong attention to detail
- Ability to manage multiple concurrent deliveries
- Comfortable working cross-functionally and independently
- Willingness to occasionally support urgent off-hours deliveries
Nice-to-Haves
- Photoshop + Illustrator experience (valuable due to team's static/AV mix)
- Adobe Premiere, Final Cut, or Avid exposure
- Anime or streaming industry familiarity
- Experience with content servicing vendors (Sony Panama, IFEC, etc.)
- Understanding of proxy files, marketing asset libraries
- Knowledge of Aspera, AWS S3, GCP, LucidLink
- Experience in both static and AV marketing pipelines
Day-to-Day Work
- Monitoring emails for incoming deliveries.
- Moving materials through Airtable (status, specs, metadata, QC notes).
- Attending taskforce meetings and reporting on delivery status.
- Coordinating closely with producers and QC teams.
- Becoming progressively more independent after a ~4 month learning curve.
