Special Projects Administrative Assistant Role

As the Special Projects Administrative Assistant, you will provide high-level administrative support to senior leadership while independently managing special projects that require coordination across departments. This Special Projects Administrative Assistant role blends traditional administrative responsibilities with project coordination, process improvement, and cross-functional collaboration.

Providing comprehensive administrative support to senior leadership

Drafting, proofreading, and formatting correspondence, reports, presentations, and internal communications

Managing electronic and physical filing systems with a high level of accuracy

Serving as a professional point of contact for internal and external stakeholders

Tracking action items, following up on deadlines, and ensuring timely completion

Coordinate and manage special projects from initiation through completion

Develop project timelines, track milestones, and report progress to leadership

Collect, analyze, and organize data to support decision-making

Collaborate cross-functionally with operations, finance, HR, sales, and other teams

Assist with process improvements, documentation, and implementation efforts

Support event planning, system rollouts, facility initiatives, and ad hoc projects

Prepare meeting summaries, project updates, and status reports

Maintain strict confidentiality of sensitive information

Assist with budgeting, expense tracking, and invoice processing related to projects

Support onboarding, training coordination, and internal initiatives

Identify opportunities to streamline administrative and project workflows



Special Projects Administrative Assistant Background Profile

5+ years of experience as an Administrative Assistant, Executive Assistant, Project Coordinator, or in a similar role

Demonstrated experience supporting senior leadership and managing multiple priorities

Proven ability to coordinate projects involving multiple stakeholders

Associate’s or Bachelor’s degree preferred (or equivalent combination of education and experience)

Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)

Ability to quickly learn new systems and processes

Experience supporting C-level or senior leadership

Project management experience or formal project management training a plus

Background in operations, manufacturing, professional services, or similar environments pref
