Special Projects Administrative Assistant Role
- Provide high-level administrative support to senior leadership
- Draft, proofread, and format various documents and communications
- Maintain accurate electronic and physical filing systems
- Act as a professional liaison for internal and external stakeholders
- Coordinate and manage special projects from inception to completion
- Develop project timelines, track milestones, and report progress to leadership
- Collect, analyze, and organize data to facilitate decision-making
- Collaborate with cross-functional teams to drive operational efficiency
- Assist in process improvements, documentation, and implementation
- Support event planning, system rollouts, facility initiatives, and ad hoc projects
- Prepare meeting summaries, project updates, and status reports
- Maintain confidentiality of sensitive information
- Assist with budgeting, expense tracking, and invoice processing for projects
- Support onboarding, training coordination, and internal initiatives
- Identify opportunities to streamline administrative and project workflows
Special Projects Administrative Assistant Background Profile
- 5+ years of experience in roles such as Administrative Assistant, Executive Assistant, or Project Coordinator
- Demonstrated experience supporting senior leadership and managing multiple priorities
- Ability to coordinate projects involving multiple stakeholders
- Preferred: Associate's or Bachelor's degree (or equivalent education and experience)
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Quick learner with the ability to adapt to new systems and processes
- Experience supporting C-level or senior leadership
- Project management experience or formal training in project management is a plus
- Background in operations, manufacturing, professional services, or similar environments is preferred
