Position Overview

The Student Services Coordinator - Housing is responsible for managing all aspects of student accommodations, arrivals, and transfers while supporting administrative and accounting processes. This role ensures that students have a seamless experience from arrival to departure and maintains strong relationships with providers to promote efficiency and quality service.

Key Responsibilities
  • Accommodations, Arrivals, and Transfers
    • Manage requests for accommodations and transfers (general requests, last-minute requests, special requests) in collaboration with the Sales and Admissions teams.
    • Assign students to different types of accommodations (student residences, shared apartments, host families, etc.).
    • Monitor initial/final evaluations regarding accommodations and transfers, and handle potential complaints and logistical issues with providers.
    • Manage and maintain relationships with various accommodation and transfer providers to promote good communication, collaboration, and efficiency.
    • Ensure that the information in the database is up-to-date, complete, and accurate.
    • Develop the growth of accommodation and transfer options by seeking new providers and formalizing collaborative relationships.
    • Report on the KPIs of the accommodations and transfers department (assignments, occupancy rates, NPS, quarterly objectives, etc.).
  • Administration and Accounting
    • Manage invoices and proforma invoices, ensuring proper accounting records.
    • Administer payments to accommodation and transfer providers.
    • Manage budgets and keep costs below allocated budgets.
  • Other
    • Support the School team in any student services position and front-desk assistance (when necessary).
    • Support the Groups department with requests and quotations related to accommodations and transfers.
    • Participate in the rotation of the opening/closing of the school and emergency phone rotation (estimated 1 week per month).
Required Qualifications
  • University degree and 3 years of experience in similar positions.
  • People skills and excellent social, communication, and negotiation abilities to interact with diverse stakeholders (students, families, providers, etc.).
  • Attention to detail and strong organizational skills to manage tasks and projects simultaneously.
  • Experience handling accounting matters, supplier payments, and invoices.
  • Problem-solving profile with high patience and resilience, capable of managing accommodation complaints and supplier logistics issues calmly and professionally.
  • Languages: Spanish and English at a professional level. Catalan and additional languages are a plus.
  • Holds a work permit for Spain.
