Student Services Manager
Reporting to: School Director

In this senior role, you will work closely with the School Director to oversee all non-academic departments, including student services, activities, administration, and student welfare.
Your leadership will ensure a seamless, high-quality student journey—from arrival to graduation—while fostering a motivated and high-performing team that delivers exceptional service and embodies EF’s mission to .Qualifications & Competencies:Experience & LeadershipProven experience in management and team leadership (minimum 2–3 years preferred) Strong decision-making and problem-solving abilities Experience working in multicultural environments Language & Technical SkillsFluent in Japanese and English (spoken and written) Proficient in Microsoft Office; familiarity with Canva or similar design tools Personal AttributesOutgoing, confident, and personable with excellent communication skills Strong commitment to customer service and student welfare Highly organized, detail-oriented, and skilled in multitasking and time management Adaptable and able to thrive in a fast-paced, diverse environment Calm under pressure and able to handle challenging situations with professionalism Creative, energetic, and practical with a strong sense of initiative Key Responsibilities:Student ServicesProvide exceptional support to students in their daily lives, ensuring the highest levels of satisfaction and care. Manage arrival and intake processes, creating a warm and smooth welcome experience for new students. Oversee planning and delivery of a fun, engaging, and diverse activities program. Organize and document Student Council meetings, ensuring student voices are heard and acted upon. Collect, analyze, and follow up on student feedback, collaborating with relevant departments (accommodation, activities, academics). Provide welfare guidance and support to students, including conflict resolution and emotional support. Issue disciplinary warnings and enforce school policies when required. Team LeadershipLead and manage the Student Services and Activities teams, including recruitment, onboarding, training, and performance appraisals. Oversee summer staff and interns, ensuring smooth seasonal transitions and consistent service quality. Act as Interim School Director during their absence, maintaining operational excellence. AdministrationMaintain up-to-date and accurate resources, such as student handbooks, staff guides, and internal communications. Manage group logistics, including activity schedules and meal planning. Organize online pre-departure sessions for incoming students and deliver training webinars to global sales teams. Ensure all student and staff areas are clean, welcoming, and well-maintained. Monitor and replenish essential school supplies, including welcome packs, cleaning materials, and health-related items.
