Student Services Manager
Reporting to: School Director
Location: 36F Shibuya Sakura Stage, Shibuya Tower, 1-1 Sakuragaokacho, Shibuya-ku, TokyoOverview:We are seeking a dynamic and passionate Student Services Manager to join our leadership team. In this senior role, you will work closely with the School Director to oversee all non-academic departments, including student services, activities, administration, and student welfare.

  • Proven experience in management and team leadership (minimum 2–3 years preferred)
  • Strong decision-making and problem-solving abilities
  • Experience working in multicultural environments
  • Language & Technical Skills
  • Fluent in Japanese and English (spoken and written)
  • Proficient in Microsoft Office; familiarity with Canva or similar design tools

  • Key Responsibilities:Student Services
  • Provide exceptional support to students in their daily lives, ensuring the highest levels of satisfaction and care.
  • Manage arrival and intake processes, creating a warm and smooth welcome experience for new students.
  • Oversee planning and delivery of a fun, engaging, and diverse activities program.
  • Organize and document Student Council meetings, ensuring student voices are heard and acted upon.
  • Collect, analyze, and follow up on student feedback, collaborating with relevant departments (accommodation, activities, academics).
  • Provide welfare guidance and support to students, including conflict resolution and emotional support.
  • Issue disciplinary warnings and enforce school policies when required.
  • Team Leadership
  • Lead and manage the Student Services and Activities teams, including recruitment, onboarding, training, and performance appraisals.
  • Oversee summer staff and interns, ensuring smooth seasonal transitions and consistent service quality.
  • Act as Interim School Director during their absence, maintaining operational excellence.
  • Administration
  • Maintain up-to-date and accurate resources, such as student handbooks, staff guides, and internal communications.
  • Manage group logistics, including activity schedules and meal planning.
  • Organize online pre-departure sessions for incoming students and deliver training webinars to global sales teams.
  • Ensure all student and staff areas are clean, welcoming, and well-maintained.
  • Monitor and replenish essential school supplies, including welcome packs, cleaning materials, and health-related items.
