POSITION SUMMARY

Reporting to the Head of Business Development, the Supply Chain Executive will be responsible for ensuring overall order fulfilment satisfaction across VANITY GROUP's hotel clients. This includes managing Freight In/Out, Customs Clearance, Inventory Control, and Sales Order and Delivery Processing, as well as liaising directly with customers to provide regular updates and clear, proactive communication.


RESPONSIBILITIES

INTERNATIONAL ORDER AND SHIPMENT MANAGEMENT

  • End to end management of logistics solutions and demand planning for Subcontinent markets along with direct market of India
  • Management of cross border orders and communication with customer regarding PO status and shipment update.
  • Management of customs documentation facilitating smooth shipment clearance and delivery
  • Maintenance of all SO and PO transaction records in SAP
  • Monitor stock level at the factory to ensure no stock left-over for international customers
  • Coordinate logistics solutions for Domestic and International market
  • Obtaining quote and provide logistic guidance to sales team for ad-hoc cross-trade shipments


CUSTOMER SUCCESS

  • Provide excellent customer service to Domestic and International customers including distributors to support VANITY GROUP's international growth
  • Working closely with the sales team, exceed the customer success of all hotel clients
  • Distributor & Customer order entries, integration with 3PL providers
  • Management of all 3PL relationships, reporting and facilitating monthly meetings with external contractors
  • Responsible for handling all customer calls and email enquiries within agreed SLAs
  • Responsible for placing all customer orders to 3PL warehouse through SAP and CSV files
  • Responsible for managing returns process with clients and 3PL warehouse
  • Providing quality and professional track and trace services to clients
  • Resolving service issues, complaints and claims within agreed SLAs
  • Work closely with freight forwards, 3PL warehouse and transport to follow client orders from end to end - providing regular updates to client and internal stakeholders on order status


INVENTORY MANAGEMENT

  • Responsible for Inventory Control which includes stock adjustment, reconciliation, samples requests, GRPO, and goods return execution
  • Monitor stock movement in and out of all warehouses to ensure inventory accuracy
  • Process stock adjustment aligning physical stock level and SAP
  • Perform monthly stock reconciliation with 3PL warehouses
  • Facilitate and process annual stock take
  • Generate expiring stock list on regular basis and flag any risks to management
  • Dispose unwanted stock in a compliant method


STAKEHOLDER MANAGEMENT

  • Always maintain a high level of professionalism and motivational spirit with stakeholders (both internally and externally)
  • Working and collaborating with cross functional teams to achieve outcomes and meet deadlines
  • Have a solution focused approach to all aspects of the Supply Chain Experience


ABOUT YOU

  • Minimum 2 years' experience in customer service role
  • Minimum 2 years' experience in a Cross Border Supply Chain role
  • Previous experience in a logistics/wholesale environment
  • Ability to demonstrate experience working within a CRM
  • Intermediate Excel skills
  • Working knowledge of SAP
  • Working knowledge of Salesforce
  • Accurate data entry skills
  • Strong interpersonal skills to assist in building and maintaining strong business relationships with clients and other stakeholders
  • Organised and structured in daily duties
  • Confident trouble shooter that is focused on continuous improvements
  • Acute attention to detail
  • Ability to prioritise and manage multiple deadlines simultaneously
