Role Overview

Lead end-to-end business process transitions across Finance, Supply Chain, and other enterprise functions—from opportunity identification and solution design through transition execution, governance, cutover, and hypercare . Drive predictable delivery, risk-managed execution, stakeholder alignment, and measurable benefits realization in a global shared services (GBS/GCC) context. This role involves leading complex transition projects, ensuring minimal disruption to business operations, and optimizing service delivery.


Key Responsibilities

1. Transition Planning & Execution

  • Partner with business and functional leaders to identify transition opportunities; perform due diligence and discovery.
  • Develop solution options (operating model, scope, SLAs/OLAs, location strategy, FTE sizing, automation/analytics levers).
  • Produce transition proposals and business cases, including timeline, cost, benefits, and risk profile.

2. Program & Project Leadership

  • Define transition methodology (phases, deliverables, gates) and sign-offs; build RACI, governance cadence, and reporting architecture.
  • Plan knowledge transfer (KT) strategy—curriculum, trainers/trainees, assessments, shadow/reverse shadow.
  • Establish readiness plans: IT & access, controls/compliance (e.g., SOX for Finance), data migration, BCP, and service readiness.
  • Own integrated program plan (milestones, dependencies, resources); run PMO governance—RAID, change control, decisions log, actions tracker.
  • Prepare and present executive-ready SteerCo updates: status, insights, risks/mitigations, financials, benefits.
  • Ensure interlock across Operations, IT, HR/Talent, Compliance, Finance, and Business stakeholders.

3. Stakeholder Engagement

  • Map stakeholders; maintain a crisp communication plan across SteerCo, WIP forums, and business reviews.
  • Influence without authority; manage expectations and drive alignment across global, cross-functional teams.

4. Governance & Compliance

  • Establish and maintain governance frameworks for transition programs.
  • Ensure adherence to organizational policies, cybersecurity standards, and regulatory requirements throughout the transition process.

5. Knowledge Management

  • Develop and implement knowledge transfer plans to ensure continuity of operations post-transition.
  • Maintain documentation repositories, transition playbooks, and training materials for scalability and future use.

6. Change Management & Adoption

  • Drive change management initiatives to support adoption of new processes, tools, and governance models.
  • Execute change initiatives, fostering acceptance and minimizing resistance from impacted teams.

7. Transition Execution

  • Lead day-to-day transition delivery across multiple workstreams/towers: Finance (P2P/O2C/R2R/FP&A), Supply Chain (Plan/Source/Make/Deliver), and other processes (e.g., HR services, Customer Ops).
  • Manage cutover planning and runbook, stabilization/hypercare, and formal handover to operations with sign-offs.

8. Risk Management

  • Identify and manage operational, regulatory, and transition risks; maintain risk registers and mitigation plans.
  • Drive quality gates (tollgates) with evidence packs; ensure audit readiness and documentation hygiene/version control.

9. Benefit Realization

  • Baseline current state; define targets (cost, productivity, quality, SLA adherence).
  • Track and validate benefits realization; implement continuous improvement (Lean/Six Sigma) post-transition.

10. Tools & Data

  • Maintain automated dashboards and governance packs using Excel/Power BI; leverage Teams/SharePoint, MS Project/Jira/Smartsheet where applicable.
  • Ensure data integrity, traceability, and transparency in reporting.


Skills Requirement

Technical & Functional

  • Proven delivery of multi-tower transitions in Finance (P2P, O2C, R2R, FP&A) and Supply Chain (Plan/Source/Make/Deliver/Logistics); exposure to additional functions (e.g., HR Operations, Customer Service) is a plus.
  • Familiarity with controls (e.g., SOX for Finance), policy compliance, and service management practices (SLAs/OLAs).

Leadership & Behavioral

  • Stakeholder Engagement – Ability to influence and manage senior global stakeholders across IT and business functions.
  • Change Management – Expertise in driving adoption of new processes and systems with minimal resistance.
  • Analytical Problem-Solving – Strong capability to analyze complex IT landscapes and propose optimized solutions.
  • Communication Skills – Clear, concise, and persuasive communication across diverse cultural and organizational contexts.

Transition & PM Leadership:

  • End-to-end transition leadership: discovery → solution design → KT → cutover → hypercare → handover.
  • Strong program management: integrated planning, RAID, change control, cross-functional orchestration.
  • Risk management and governance discipline with executive stakeholder engagement.

Tools & Analytical:

  • Advanced Excel (Power Query, Pivot, complex formulas; VBA is a plus) and PowerPoint (storytelling, exec packs).
  • Power BI (preferred), MS Project/Jira/Smartsheet, Visio/Lucidchart for process mapping.
  • Evidence of data-driven decision-making and benefits tracking.

Leadership

  • Global Delivery Experience – Prior experience in managing transitions across multiple geographies and time zones.
  • Process Optimization – Ability to streamline IT processes for efficiency and scalability.
  • Agile/Hybrid Delivery Models – Familiarity with Agile principles for IT projects.


Qualifications & Experience

Education

  • Bachelor’s/Master’s in Business, Engineering, Commerce, or related field.
  • Certifications: PMP/PRINCE2, Lean Six Sigma (Green Belt), Agile/Scrum (foundational), Prosci/Change Management (plus).

Experience

  • 8+ years of experience in program/project management, with at least 3–5 years in transition or transformation roles .
  • Proven track record of leading large-scale transitions involving multiple geographies and systems.
  • Experience in stakeholder management at senior leadership level and working in a global, multicultural environment.
  • Strong background in governance, compliance, and risk management for projects.
  • Exposure to shared services environments or Global Capability Centers (GCCs) .
  • Experience with automation, digital enablement, and process optimization initiatives.
