Japanese & English speaking Executive Assistant to Business Development Advisor to the Chairman

This is a unique opportunity for a highly organised and experienced Executive Assistant to provide high-level administrative support to the BD Advisor to the Chairman and other senior stakeholders. The role requires flexibility and availability for domestic and international travel to support executive engagements, meetings, and business development activities, ensuring accurate English-Japanese communication and professional support at executive and committee level within a corporate environment.

Key Responsibilities:


  • Provide accurate and professional English-Japanese and Japanese-English translation and interpretation for the Business Development Advisor to the Chairman and other senior management

  • Attend executive and committee meetings, providing real-time interpretation support

  • Prepare and brief the Business Development Advisor to the Chairman for upcoming meetings, including agendas, background papers, and key discussion points

  • Translate business documentation, reports, presentations, and correspondence as required

  • Provide comprehensive diary management, including scheduling meetings and coordinating domestic and international travel arrangements for senior management

  • Prepare presentations, reports, and business materials using Microsoft Office applications

  • Take, prepare, and distribute meeting minutes, ensuring accuracy, confidentiality, and timely follow-up of action items

  • Accompany the Business Development Advisor to the Chairman on domestic and international travel as required, providing on-site translation and executive support

  • Support business development activities through administrative coordination and document preparation

  • Liaise with internal teams and external stakeholders in a professional and confidential manner

  • Maintain strict confidentiality and exercise sound judgement when handling sensitive information

  • Undertake additional executive and administrative support duties as required
  • Our ideal candidate requires:
  • Native or near-native proficiency in Japanese and English, both written and verbal, with experience in complex business translation and interpretation

  • Strong commercial awareness and ability to engage in business, financial, and strategic discussions

  • Strong computer literacy, including Microsoft Office, and experience preparing executive-level presentations and reports

  • Proven experience supporting senior executives, including diary management, travel coordination, and handling high-priority tasks

  • Strong interpersonal and communication skills, confident engaging with executive and board-level stakeholders

  • Excellent organisation, time management, and multitasking skills under tight deadlines

  • High level of professionalism, discretion, and attention to detail

  • Willingness and ability to travel domestically and internationally

  • Australian work rights and a valid passport required
