Guest Relations Officer
Alliance University is a Private University established in Karnataka State by Act No. 34 of the year 2010. The University is recognized by the University Grants Commission (UGC), New Delhi. Job Title: Guest Relations Officer
Job Location: Bengaluru, India
Educational Credentials: Bachelor’s Degree in any discipline (Hospitality, Communication or Management preferred)
Work Experience: 2-3 years of prior relevant experience.
Language Preferences: English, Hindi, and any other regional languages.
Notice Period: Candidates who can join immediately will be given preference.

The Guest Relations Officer will serve as the primary point of contact for visitors, dignitaries, parents, industry partners, and other guests visiting the University. The role requires a highly presentable individual with excellent communication and interpersonal skills to ensure a professional, welcoming, and seamless guest experience that reflects the University’s values and standards.
Key Responsibilities
Guest Handling & Front Desk Management
- Receive, welcome, and assist all visitors, guests, parents, and officials in a courteous and professional manner.
- Act as the first point of contact for walk-ins, scheduled guests, and official visitors.
- Manage the front office, reception area, and visitor lounges to ensure a pleasant and organized environment.
Communication & Coordination
- Respond to queries from guests in person, over phone, and via email with clarity and professionalism.
- Coordinate with academic departments, administration, security, and protocol teams to facilitate smooth guest movement.
- Schedule and manage appointments and visitor meetings as required.
Protocol & Hospitality Support
- Assist in hosting dignitaries, faculty guests, international visitors, and industry representatives.
- Support protocol arrangements during official events, convocations, conferences, and VIP visits.
- Ensure adherence to institutional etiquette, dress code, and protocol standards.
Records & Reporting
- Maintain visitor registers, appointment logs, and guest records accurately.
- Prepare basic reports related to guest visits and front office operations.
- Handle incoming and outgoing correspondence related to guest services.
Campus Representation
- Uphold the University’s image by maintaining high standards of grooming, conduct, and communication.
- Provide basic information about the University, programs, campus facilities, and directions.
Skills Required:
- Excellent verbal and written communication skills in English;
knowledge of Hindi and/or regional languages preferred. - Strong interpersonal skills with a warm, confident, and courteous demeanor.
- High standards of personal grooming and professional appearance.
- Ability to handle guests from diverse backgrounds, including senior officials and international visitors.
- Good organizational skills and attention to detail.
- Basic computer proficiency (MS Office, email, visitor management systems).
Work Requirements:
- Willingness to work flexible hours during events, conferences, and special university functions.
- Ability to remain calm, polite, and efficient under pressure.
