Job Description

We're looking for a highly reliable, organized, and tech-savvy Operations & Admin Support Specialist to help keep our business running smoothly. This role is part of our core operations team and focuses on client communication, task management, CRM upkeep, and day-to-day coordination across the company.

What You'll Handle:

Daily Operations & Admin Support

  • Keep tasks, deadlines, and follow-ups organized so nothing slips
  • Communicate with clients to collect missing information, clarify details, and provide simple support
  • Relay leads, updates, and key information to the sales team
  • Review documents, content, or client submissions for clarity and accuracy
  • Maintain structure across projects, folders, naming conventions, and documentation

CRM & Systems (GHL experience is a strong plus)

  • Update and maintain CRM records, pipelines, and statuses
  • Support quality assurance for lead flow and client activity
  • Assist with automations, workflows, and simple setup inside GHL
  • Help troubleshoot or escalate technical issues when needed
  • Use tools like Zapier, Make, or AI tools (preferred but not required)

Requirements

  • 2+ years in admin support, operations, VA, EA, client coordination, or similar
  • CRM experience (GHL is a major plus but not required at expert level)
  • Strong English communication skills
  • Reliable internet and consistent availability during agreed-upon hours
  • High level of reliability and follow-through

Nice to Have

  • Experience in digital marketing, sales support, or client-facing roles
  • Familiarity with GHL automations, triggers, and workflows
  • AI tool familiarity
  • Ability to create or follow SOPs
  • QA or data-cleaning experience
