Job Summary:

The VMS (Vendor Management System) Vendor Operations Specialist is responsible for overseeing the technical aspects of the vendor management systems and operations within the organization. The VMS Technical Operations Specialist will ensure the VMS aligns with the organization’s strategic objectives, operates efficiently, and contributes to cost savings and improved vendor relationships.

Key Responsibilities:

  • Oversee the day-to-day functionalities and technical operations of the VMS platform, ensuring its smooth and efficient performance.
  • Coordinate with various stakeholders, including clients, suppliers, and internal teams, to understand their requirements and troubleshoot any issues related to the VMS platform.
  • Serve as the primary point of contact for technical support and assistance related to the VMS platform, addressing, and resolving user inquiries and concerns in a timely manner. This can include User Acceptance Testing, Updating reporting fields, and Troubleshooting User Interface discrepancies or inquiries.
  • Maintain and update technical documentation, manuals, and training materials to ensure accurate and up-to-date information is available to users.
  • Develop and implement best practices, guidelines, and standard operating procedures for the VMS platform to optimize efficiency and effectiveness.
  • Continuously monitor and assess platform performance, identify areas for improvement, and recommend solutions or enhancements to optimize system performance and user experience.
  • Collaborate with the development and implementation teams to define and execute enhancements, upgrades, and new feature implementations based on user requirements and industry trends.
  • Conduct regular system audits and quality assurance tests to identify and resolve any bugs or technical issues, ensuring data accuracy and system integrity.
  • Stay up to date with industry trends, technology advancements, and regulatory changes to proactively identify potential risks, challenges, or opportunities for improvement.
  • Provide comprehensive training and support to users, including conducting webinars, workshops, and individual or group training sessions to ensure a smooth transition to and optimal usage of the VMS platform.


Qualifications:

  • Bachelor’s degree in computer science, Information Technology, or related field.
  • 2+ years’ experience working with Vendor Management Systems or other related platforms-Beeline/Fieldglass/VNDLY/Simplify.
  • 5+ years’ experience in technical support with proven experience of handling more complex issues and assisting with system improvements.
  • Strong technical skills with expertise in system administration, configuration, and troubleshooting.
  • Exceptional problem-solving and analytical abilities.
  • Excellent communication and interpersonal skills to effectively communicate with various stakeholders.
  • Ability to multitask, prioritize workloads, and meet deadlines in a fast-paced environment.
  • Proactive and self-motivated with the Ability to work independently as well as part of a team.
  • Familiarity with project Management methodologies and best practices.

Other

  • Must be able to support clients 9am – 5pm EST Mon – Fri.
  • Certification in Vendor Management Systems (Beeline/Fieldglass/VNDLY/Simplify) or related field is a plus.
