Job Description

We are seeking a highly organized and detail-driven Virtual Executive Assistant with an insurance and accounting background to support our US Based client to provide critical operational support across insurance administration, invoice processing, database management, and executive coordination.

In this role, you will work closely with Risk Management, Accounting, insurance brokers, and internal stakeholders to ensure accuracy, compliance, and timely execution of insurance-related processes.

Key Responsibilities

Insurance, Accounting & Invoicing

  • Manage insurance invoice processing, coding, tracking, and approvals
  • Reconcile data between Accounting and Risk Management systems
  • Maintain invoice allocation spreadsheets and insurance payment records
  • Resolve insurance cancellation notices and coordinate proof of payment
  • Collect and attach certificates of insurance (COIs) to related invoices
