As a WILCEC Administrator, you’ll play a key role on our Work‑Integrated Learning and Career Education Centre team. Reporting to the Career Education Manager, you’ll collaborate with the team to provide support through administrative tasks, event coordination, process management, Program Advisory Committee (PAC) engagement, and more.
HOW YOU'LL MAKE A DIFFERENCE
- Create, update, and improve resources and processes for key stakeholders, including the WILCEC team, students, and employer‑partners
- Review and process Work‑Integrated Learning (WIL) student ‘to‑do list’ requirements to ensure students are notified of all non‐academic WIL requirements
- Maintain and collect data for reporting across WILCEC digital platforms
- Review and approve job postings on the CareerQuest Hub job board
- Maintain WILCEC communications and respond to inquiries via department email and phone
- Coordinate with Finance and Accounts Payable to support financial processes related to student activities and program needs, including payments, reconciliations, and purchases
- Assist with day‑to‑day operations, including event coordination, purchasing, record maintenance, and more.
- Provide administrative support for Program Advisory Committee (PAC) meetings, including scheduling, preparing minutes, facilitating communication, and maintaining document templates and official records
- Maintain accurate and up‑to‑date PAC member lists and contact information.
WHAT YOU BRING
- Post‑secondary business/office administration diploma or certificate, or equivalent (Bachelor’s degree preferred)
- 1‑3 years administrative experience, preferably in a post‑secondary environment
- Exceptional customer service supported by strong communication and a high level of professionalism.
- Experience working with diverse student populations, such as international learners, newcomers, Indigenous students, and individuals facing barriers to employment is considered an asset.
- Proven ability to quickly learn and adapt to new technologies. Experience in PeopleSoft, Moodle, Symplicity CSM, and Orbis is considered an asset.
- Strong time management skills and the ability to effectively manage a large volume of work with accuracy and attention to detail.

SALARY
AUPE Admin Assistant III | $1,890 − $2,456 (bi‑weekly) reflective upon what you bring AKA your education and experience.
